HelixIQ, Inc. ("HelixIQ," "we," "us," or "our") operates HomeSurvey.ai and SurveyIQ™ (the "Services"). This Privacy Policy explains how we collect, use, disclose, and protect information, including Personal Data, in connection with the Services.

This Privacy Policy applies to:

Subscribers (business customers) and their authorized users,
End Users (e.g., homeowners/residents) who submit photos/videos through the Services, including when accessed via integrated platforms such as Movegistics or other CRMs, and
People who appear in photos, videos or audio captured by a Subscriber's staff or agents, including in-person recordings made with AI glasses.

1. INFORMATION WE COLLECT

1.1 Information You Provide

Contact information (name, email, phone, company)
Account and authentication information (if applicable)
Customer Content (photos, videos, images, audio and voice recordings, and transcripts), answers to survey questions, and related notes/metadata submitted to the Services
Communications with us (support requests, emails)

1.2 Information Collected Automatically

IP address, device identifiers, browser type, operating system
Usage logs and event data (including timestamps, feature usage, error logs)
Approximate location derived from IP (where permitted by law)

1.3 Information From Integration Partners

If Subscriber enables integrations (APIs/webhooks/endpoints) with Integration Partners such as Movegistics or other CRMs, we may receive Integration Data from those systems as configured by Subscriber.

2. HOW WE USE INFORMATION

We use information to:

Provide, operate, and maintain the Services
Process Customer Content to generate AI-assisted draft outputs
Support integrations, APIs, webhooks, and endpoints
Monitor performance, prevent abuse, and secure the Services
Improve and develop features (including quality assurance)
Comply with legal obligations and enforce agreements

3. AI PROCESSING

Customer Content may be processed using automated AI/ML systems to generate draft outputs. Outputs may be reviewed and edited by Subscriber. AI systems may exhibit variability and are not guaranteed to be accurate.

4. HOW WE SHARE INFORMATION

We may share information with:

Subscribers and their authorized users, including your contact details, Customer Content, survey answers, and the inventory and summary generated from them (so they can review outputs and plan your move)
Service providers/subprocessors (hosting, storage, analytics, support tooling, AI processing providers)
Integration Partners at Subscriber direction (via APIs/webhooks/endpoints), such as the Subscriber's CRM, move-management or other business systems. Once information reaches a system we do not operate, the Subscriber's policies govern it.
Law enforcement or regulators when required by law

We do not sell Personal Data.

5. SMS AND TEXT MESSAGING

We may send text messages containing survey links, reminders, and status updates relating to a move or survey you are participating in, and account or support notifications to our business customers.

If you provide your mobile phone number to us or to a Subscriber, you consent to receive text messages from HelixIQ, Inc., sent on our own behalf or on behalf of the Subscriber, related to our services. Messages sent on behalf of a Subscriber may come from a phone number registered to that Subscriber, and the Subscriber is responsible for having your consent to send them. Mobile numbers and SMS consent are used solely for sending service-related or opted-in messages. We do not sell, rent, or share mobile phone numbers or SMS consent with third parties or affiliates for marketing purposes. Mobile numbers and message data may only be shared with service providers that assist us in delivering text messages, and with the Subscriber that requested your survey.

Message frequency varies depending on your activity and the services you request. Message and data rates may apply. Consent to receive text messages is not a condition of purchase.

Reply STOP to any message to opt out at any time. Reply HELP for assistance, or contact us at privacy@homesurvey.ai.

5A. EMAIL

We may send emails containing survey links, reminders, confirmations and status updates relating to a move or survey you are participating in, on our own behalf or on behalf of a Subscriber, and account or support emails to our business customers. We may also send occasional announcement emails about HomeSurvey.ai to End Users and business customers. Every announcement email includes an unsubscribe link, and you can unsubscribe at any time. Unsubscribing does not stop service-related emails about a survey you are taking part in; to stop those, contact the Subscriber or us at privacy@homesurvey.ai. We do not share email addresses with anyone for their own marketing. We share your information outside HelixIQ only as described in Section 4.

6. INTERNATIONAL TRANSFERS

We may process and store information in the United States and other jurisdictions. Where required (e.g., EU/UK), we use appropriate safeguards such as Standard Contractual Clauses or equivalent lawful mechanisms.

7. DATA RETENTION

We retain information for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements. Retention periods may vary based on Subscriber configuration, contract terms, and legal requirements.

8. SECURITY

We implement reasonable administrative, technical, and organizational safeguards designed to protect information. No system is completely secure, and we cannot guarantee absolute security. Our Trust Center sets out the specifics: hosting region, encryption in transit and at rest, CMMC Level 1 status, and who has access to survey data.

9. YOUR RIGHTS (GLOBAL)

Depending on your jurisdiction (including EU/UK, Australia, and other regions), you may have rights to request access, correction, deletion, restriction, objection, or portability of your Personal Data.

10. CHILDREN

The Services are not intended for individuals under the age of 16, and we do not knowingly collect Personal Data from them.

11. CHANGES TO THIS POLICY

We may update this Privacy Policy from time to time. We will post an updated version with a revised "Last Updated" date.
